Abstract

Background: Data fragmentation between operational and financial information systems remains a critical issue in building equipment and asset management.

Objective: This study examines the data recording gap between a Property Management System and an ERP System in the management of building equipment within a large corporate building management context in Indonesia.

Methods: Using a qualitative case study approach, data were collected through focus group discussions, observation, and document analysis involving building management, information technology, accounting, and audit functions.

Results: The findings show that data inconsistency is mainly caused by conceptual differences between equipment as an operational object and asset as a financial recording object. These differences create gaps in data requirements, information structures, procurement recording, and disposal processes. This study proposes a data integration strategy using Asset Number as a reference attribute to connect equipment data in ProMS with asset data in the ERP System.

Conclusion: The proposed strategy is expected to improve data consistency, information traceability, and cross-functional alignment between operational and financial asset management processes.
